Who and what this policy covers
NORTHERN ONTARIO DEV EXCHANGE operates the NODE Sudbury event and hackathon platform. This policy covers visitors, account holders, participants, project collaborators, organizers and judges using that platform. An independently organized event may have its own privacy notice explaining its host’s separate use of registration or submission information. A free platform account is separate from NODE membership.
Information you provide
We handle the account details you provide, such as name, email and sign-in information; optional profile fields such as biography, skills, school, links and picture; and your privacy and notification choices. Using an enabled external login also supplies identity information made available through that connection.
Event activity can include registration answers, team requests and invitations, project memberships, reusable project content, submitted versions and history, uploaded media or requested documents, presentation assignments, reviews and scores. Community activity and reports can include the content, people involved and related moderation records. Provide only information needed for the relevant task.
Technical information and browser storage
Authentication uses a persistent browser session so you can remain signed in. Browser local storage also supports features such as an unsaved event draft and saved preferences where used. Signing out or clearing storage can remove local state; clearing browser storage does not delete your account or server records.
Our application and service providers process technical records needed to deliver, diagnose and protect the service. These can include request and device information, errors, authentication events and email-delivery records. Vercel Speed Insights is included for performance measurement. This notice does not treat optional marketing consent as permission for every technical use.
How information is used
We use information to authenticate people, maintain accounts and projects, operate registrations and teams, process submissions and reviews, arrange presentations, deliver relevant notices, apply settings, investigate reports, prevent misuse and maintain service integrity. Policy-version and acceptance records document the terms or notices presented and the choices recorded.
Optional marketing or newsletter choices are separate from account access and event registration. You do not have to agree to marketing to use the platform.
Public pages and event access
Public profiles, projects, published event information and gallery entries may be viewed without signing in, copied or indexed by others. Profile controls can limit specified details and manage follow access. A limited identity card may remain visible. Search-exclusion settings request that search engines avoid indexing your profile; they cannot erase external copies or guarantee removal.
Team and project collaborators receive information needed for their shared work. Event owners and authorized managers handle registration, submission and administration records. Judges receive review information through their assigned permissions. Public project content and requested private evidence use different access paths. Avoid putting restricted information in public fields; private-profile settings do not retract an event submission.
Providers and other disclosures
Supabase supports authentication, database and file storage; Vercel supports application hosting and performance measurement; Mailgun supports operational email when enabled. Enabled sign-in providers and linked external services also process information under their own notices. Processing can involve locations outside your province or country; we do not promise Canadian-only storage.
We may disclose relevant information when legally required or reasonably necessary to investigate misuse, protect people or defend legal rights. Such disclosure is limited to the purpose involved. A linked repository or dataset is operated independently and should be reviewed before you share information with it.
Your choices
Use settings to update supported account and profile fields, manage connected sign-in methods, change privacy controls and select notification categories. Necessary account, security and event-service notices can still be sent when optional categories are disabled. Where an unsubscribe control is provided, it applies to the stated communication category.
Retention and deletion
Account settings include a deletion preview and confirmation. Active responsibilities can require an ownership handoff or another resolution before deletion proceeds. Shared project submissions, reviews, event history and other justified records can remain after your account is removed; some records retain an anonymous or former-member attribution. Text or files you or others supplied may still contain identifying information.
We retain information according to its operational purpose and applicable obligations, including security, dispute handling and shared-event integrity. Deletion is not a promise that every copy, backup, provider log or independently held record disappears immediately. No fixed retention or erasure deadline is promised by this policy.
Privacy inquiries and requests
To ask about these practices or request access, correction or deletion of personal information, write to NORTHERN ONTARIO DEV EXCHANGE, 73 Elm St Ste 203, Sudbury, ON P3C 1R6, Canada. Describe the information and action you are requesting. We may need to verify your identity or clarify your request before acting. Do not send passwords or sign-in codes. Applicable legal rights and exceptions govern how requests are handled; account settings also provide the self-service controls described above.
Policy changes
We publish identifiable versions of this notice. Changes to a privacy notice do not by themselves provide consent for a new optional purpose. Review the current notice and the settings or separate choices associated with the features you use.
